At Ravenshroud Architecture, we're committed to protecting your privacy. This isn't just legal boilerplate - it's how we actually operate day-to-day in our Vancouver studio.

When you reach out to us or work with us on a project, we'll typically collect:

  • Contact Details: Name, email, phone number, mailing address - the usual stuff so we can actually get back to you
  • Project Information: Property details, design preferences, budget ranges, timelines. Can't design your dream space without knowing what you're after
  • Communication Records: Emails, meeting notes, sketches you've sent us. We keep these to track project evolution and make sure nothing falls through the cracks
  • Technical Data: IP addresses, browser types when you visit our site. Pretty standard web analytics stuff
  • Financial Information: Billing details for invoicing - though we don't store full credit card numbers on our systems

We don't collect anything we don't need. If we're asking for something, it's because it genuinely helps us serve you better.

We're not in the business of selling data - we're architects. Here's what we actually do with your info:

  • Project Delivery: The main event. Designing your spaces, coordinating with contractors, getting permits sorted
  • Communication: Keeping you updated on project progress, answering questions, scheduling site visits
  • Legal Compliance: Meeting building codes, maintaining records as required by professional regulations in BC
  • Service Improvement: Understanding what works and what doesn't so we can get better at what we do
  • Marketing: Occasionally sharing updates or relevant services - but only if you've said it's cool. You can opt out anytime

Everything we do with your data ties back to delivering excellent architectural services or meeting our legal obligations.

Security's kinda like structural integrity - you don't see it, but it's holding everything together.

  • Encryption: Data transmitted to and from our systems is encrypted. Think of it as putting your info in a locked box
  • Access Controls: Only team members who need specific information for their work can access it. Not everyone in the office can see everything
  • Secure Storage: We use reputable cloud services with robust security measures and regular backups
  • Regular Updates: Our systems are kept current with security patches - boring but necessary
  • Physical Security: Our Vancouver office has controlled access, and sensitive documents are properly secured

No system's perfect, but we take reasonable precautions to keep your information safe. If something does go wrong, we'll let you know promptly.

Architecture's a team sport. Sometimes we need to share information with others to get the job done:

  • Contractors & Consultants: Structural engineers, contractors, landscape architects - folks who need project details to do their part
  • Government Authorities: Municipal offices, building departments for permits and approvals
  • Legal & Financial: Lawyers, accountants, insurance providers when professionally necessary
  • Service Providers: Cloud storage, email services, project management tools - but they're contractually bound to protect your data
  • Heritage Organizations: When working on restoration projects, we may need to coordinate with heritage boards

We don't share information with third parties for their marketing purposes. Your data isn't a commodity to us.

Portfolio Use: We'd love to showcase completed projects, but we always ask permission first. If you prefer to stay anonymous, that's totally fine.

Our website uses cookies - not the chocolate chip kind, unfortunately. Here's what's happening:

We're not data hoarders, but we do need to keep certain records:

  • Active Projects: Throughout the project duration and typically 7 years after completion. Building codes and professional regulations in BC require this
  • Financial Records: 7 years minimum for tax and accounting purposes
  • Inquiries: If you contact us but don't proceed with a project, we'll keep your info for about 2 years in case you change your mind
  • Marketing Contacts: Until you ask us to stop, or if we haven't heard from you in 3 years

When we do delete data, it's done securely. Old hard drives get properly wiped or physically destroyed - no dumpster diving risks here.

It's your data. Under Canadian privacy law (specifically PIPEDA and BC's privacy legislation), you've got rights:

  • Access: You can ask what information we have about you. We'll show you
  • Correction: Spotted an error? Let us know and we'll fix it
  • Deletion: Want us to delete your data? We'll do it, unless we're legally required to keep it
  • Portability: You can request a copy of your data in a commonly used format
  • Opt-Out: Don't want marketing emails? Click unsubscribe or let us know
  • Complaint: If you think we've mishandled your data, you can file a complaint with the Office of the Privacy Commissioner of Canada

We're based in Vancouver, but some of our service providers (like cloud hosting) might store data on servers outside Canada.

When this happens, your information may be subject to the laws of those jurisdictions. We only work with reputable providers who maintain strong privacy protections.

Most of our data stays within Canada, but we wanted to be upfront about the possibility.

Our services aren't directed at anyone under 18. We don't knowingly collect information from minors.

If you're a parent and believe we've somehow collected info about your child, reach out and we'll delete it promptly.

Privacy laws evolve, our practices improve, and sometimes we just realize we can explain things better.

When we update this policy, we'll change the date at the top and post the new version here. For major changes, we'll send an email to active clients.

We recommend checking back periodically, especially if you're a regular client.
